Business Meeting Expense Reimbursement

For Annual and Midyear Meetings, the Association is required to reserve a significant block of guest rooms at the headquarters hotel as well as guarantee that members will use a large percentage of the reserved rooms. If we fail to use the contracted number of guest rooms, we pay a penalty. As a result, members who will be requesting reimbursement of expenses in conjunction with these meetings, must stay at the headquarters hotels. In the event the room block sells out, members having to seek alternate arrangements will be eligible to seek reimbursement pursuant to the Reimbursement Policy, provided the alternate reservation was secured after the headquarters hotel sold out. Reimbursement Forms will be distributed at the conclusion of each Business Meeting, including at the conclusion of the Assembly Meeting, and must be submitted within 45 days of the meeting.

Accommodations

Our goal is to host meetings that enable all individuals to participate fully and equally. Please email the Annual Meeting Coordinator at least a week prior to the program to allow us time to make any reasonable accommodations that would allow you to participate more fully. Venues for ISBA conferences are selected for maximum accessibility.

Members with dietary restrictions or food allergies must notify the Annual Meeting Coordinator at least one week in advance of the event in order to provide the venue with necessary time to accommodate the request. Although we make every effort possible to accommodate all requests, we are unable to guarantee special dietary requests made onsite.

Health and Wellness Statement

The City of Chicago has removed all its mask, vaccination, and facility capacity requirements with respect to the COVID-19 virus. Such requirements (and others) are subject to reinstatement at any time in response to any increase in COVID-19 risk. Information about Chicago restrictions can be found on the City of Chicago's Latest Guidance COVID-19 page. During the Annual Meeting, all facility, local, and state health and safety protocols will be applicable. Given the continuing uncertainty surrounding the spread of COVID-19 and its variants, and with the health and safety of ISBA members and guests a predominant consideration, being vaccinated  is encouraged. Other safety measures, such as mask wearing, are a matter of personal choice. Members and others who test positive for COVID-19 immediately prior to the event, exhibit COVID-19 or COVID-19 like symptoms, or who recently have come into close contact with a person who has tested positive for COVID-19, are asked to be considerate of others and not to attend. The ISBA reserves the right to cancel or reschedule this event or convert it to a virtual event if health and safety restrictions require it.
